Data Privacy Policy
The Center for Rinconada Culture and the Arts (CRCA) runs Saraysay, a digital archive for the heritage of the Rinconada district of Camarines Sur. This explains what the archive keeps about you, why, and what you can ask us to do about it.
1. What we hold
Your account. Your name, email address, and password. The password is stored only as a cryptographic hash — nobody at CRCA can read it. If you add them: a username, a short biography, a profile photograph, a cover image, and the languages you prefer.
What you contribute. The files you send in and everything you write about them — the title, description, where and roughly when the material is from. Files are held inside the archive database itself, not on a public web folder.
What the archive reads from your material. Text recovered from scans and photographs by optical character recognition, and subtitles written for recordings. This is what makes the archive searchable.
What you do here. Which items you liked, who you follow, notifications sent to you, and questions you put to the AI assistant along with the answers given.
Sessions. A record of your active sign-ins so a session can be ended without waiting for it to expire, and so you can be signed out after a period of inactivity.
Administrator actions. When a CRCA administrator approves, rejects, restricts, or removes something, that action is recorded with who did it. This is an accountability record, not a record of ordinary browsing.
2. Why we hold it
- To keep the archive and show contributions to the people they are meant for.
- To let a moderator judge material before it becomes public.
- To let contributors be credited for what they give.
- To keep accounts secure and to enforce the terms everyone agreed to.
We do not sell your information, and we do not use it for advertising.
3. Who else sees it
Anything you publish. A contribution that a moderator approves and marks public can be seen by anyone visiting the archive, together with your name as its contributor. A contribution marked private or restricted is not.
Drafts are yours alone. Unfinished contributions and unfinished translations are visible only to you until you send them.
Services we rely on. Signing in with Google passes your request to Google. Questions asked of the AI assistant, and the archive text needed to answer them, are sent to Google to be processed. Email we send you passes through our email provider. Each of these handles that information under its own terms.
We do not otherwise share personal information, except where the law requires it.
4. Cookies
Saraysay sets a cookie to keep you signed in, and another if you ask to be remembered on a device. There are no advertising or tracking cookies.
5. How long we keep it
Approved contributions are meant to last — that is what an archive is for. Your account details are kept while your account exists. Ask us to close your account and we will remove your personal details; material already published stays in the archive unless you ask for that too.
6. What you can ask for
- To see what the archive holds about you.
- To correct anything wrong.
- To take down a contribution you sent.
- To close your account.
- To withdraw consent you gave, without affecting what was done before you withdrew it.
Copies already downloaded by others, or cached elsewhere on the internet, may not be recoverable.
7. Keeping it safe
Passwords are hashed, sessions expire after a period of inactivity, and repeated failed sign-ins lock an account for a time. Access to the moderation and administration areas is limited to CRCA staff accounts. No system is perfectly secure, and we do not claim otherwise.
8. Children
Saraysay is not aimed at children. If material about a child is contributed, whoever sends it is responsible for having the consent of a parent or guardian.
9. Changes
If this policy changes we will update it here. The date it was last changed is shown on the page.
